Facilities Manager

**JOB DESCRIPTION **

Job title: Facilities Manager

Reporting to: Director

Salary : £40,000 - £45,000 per annum

Pension: Contribution Employer 3% - Employee 5%

Hours: Full Time, Mon - Fri, 0800 - 1700

Holiday: 25 Days plus bank holidays

Overtime: Adhoc paid hourly

Location: Chiswick Park

Closing Date: Monday 16 September 2019 at 5pm

Job purpose:

· To be responsible for all aspects of the organisation’s facilities management and the safety of Contractors, Visitors and Staff

· To contribute to the organisation’s decisions regarding premises management and development

· Proactive, Positive, Helpful, “Can do” approach at all times

· Self motivated with exceptional organisational and communication skills

**Main duties and responsibilities: **

Meetings (Co-Ordinate, Prepare, Minute, Deliver actions)

• Weekly meeting with client Service managerMonthly

• H&S meetings with H&S Committee (As Chair)

• Weekly meeting with client project team

• Weekly meetings with client operations team

• Monthly meeting with gen-x Director

• Quarterly meetings with Security contractor

• Quarterly meetings with contractors (KPI)

• Monthly meetings with Tenants

• Adhoc meetings

Finance

• Annual budget preparation

• Budget delivery control

• Budget change control process

• Budget variance reporting

• Budget forecast

• Provide quotations

• Issue purchase orders

• Sign off contractor invoices

Health & Safety

• Risk Assessments

• Fire risk assessment

• Legionella risk assessment

• DSE risk assessments

• General workplace risk assessment

• Identify workplace risks, complete risk assessments

• Identify off site risks, complete risk assessments

• Review contractor risk assessments

• Develop client health and safety policies and procedures; ensure they remain current and legally compliant

First Aid at Work

• Manage quantity of trained first aiders (ensure 24/7 coverage)

• Manage training records and renewals

• Manage first aid boxes and medical fridge

• Manage the defibrillator

• Develop client first aid policies and procedures; ensure they remain current and legally compliant

Fire

• Carry out Deputy Fire Warden role

• Manage quantity of trained fire wardens (ensure 24/7 coverage)

• Manage training records and renewals

• Develop client fire policies and procedures; ensure they remain current and legally compliant

Permits

• Manage landlords permit to work and access system

• Develop client permit policies and procedures; ensure they remain current and legally compliant

Induction

• Develop client induction policies and procedures; ensure they remain current and legally compliant

• Visitor

• Staff

• Contractor

Audits

• Participate and work with internal and external auditors

• Ensure actions are managed and targets delivered

Engineering

• Ensure asset register kept up to date

• Ensure drawings are kept up to date

• Ensure site records are kept up to date

• Manage PPM regime

• Agree schedules PPM dates

• Monitor results of PPM visits and arrange appropriate action when required

• Manage quality of PPM’s

• Manage KPI’s and SLA’s

• Obtain quotations and approval as required

Environmental

• Develop client environmental policies and procedures; ensure they remain current and legally compliant

• Ensure complain with WEEE regulations

• Manage registration of generator fuel with Environment agency and mange ongoing requirements

• Identify energy saving initiatives and present business case for improvements

• Projects

• Act as site representative

• Control egress of contractors and materials

• Project manage small works and fit outs
